When using your Keio ID in your new Keio Mail Address and using old Keio Mail mailing lists

Introduction

 When sending an email from the new Keio Mail (Gmail) to the old Keio Mail (DEEPMail), when it comes to the mailing lists where the mailing list "posting restrictions" are "Members only", the administrator will need to either add the new Keio Mail addresses that support the mailing list members to "Mailing List Members" or add them to the "Permitted List" in the "Permitted/Restricted Lists".
 In addition, when old Keio Mail addresses are set in the "Permitted/Restricted Lists", the new Keio Mail addresses will need to be set up in the "Permitted/Restricted Lists".

Procedure 1: Adding to the members list

* These settings are required when the mailing list posting restrictions are "Members only". Mailing lists which use "Anyone can post" posting restrictions do not need this work, but if the posting restriction settings are changed, the work will need to be carried out.

  1. Display the admin screen for the old Keio Mail mailing list.
    Click "Manage List".
  2. Select the mailing list, and click "Number of Members".
  3. Click "Export".
  4. Save the file in a folder of your choosing.
  5. * Only done on PCs where Excel is installed.
    When using a PC without Excel, skip ahead to Step 7 in Procedure 1.
    Open the saved .csv file in Excel.
    Right-click the saved .csv file, then click "Open with" and "Excel".
  6. The leftmost A column shows the email addresses.
    Click [A] to select all the email addresses, and copy them.Go to Step 14 in Procedure 1.
  7. * The steps from here to Step 13 are done on PCs where Excel is not installed.
    Carry out Steps 5 and 6 if your PC has Excel installed.

    Log into the new Keio Mail from keio.jp.
  8. Click "Apps" at the top right of the screen, then "See more".
  9. Click "Even more".
  10. Click "Spreadsheet" in Home & Office.
  11. Click the folder icon at the top right.
  12. Click "Upload" and upload the .csv file you saved in Step 4.
  13. The leftmost [A column] shows the mailing addresses.
    Click [A] to select all the email addresses, and copy them.
  14. Log into keio.jp.
    Click "Swap between old and new Keio Mail addresses".
  15. Right-click then select "Paste" to paste the addresses you copied in Step 6 or 13 into the "entry area" on the left,
    then click the "Old→New" button.
  16. The new Keio Mail email addresses are displayed in the "display area" to the right.
    Copy the "display area".
    * If an email address for someone who has already left Keio or an external address (such as "@gmail.com") that is not covered by migration to the new Keio Mail is entered into the entry field, it will show as red and an error will be displayed.
    In this case, email addresses that need to be re-registered as targeted for migration to the new Keio Mail will be displayed, so copy the Display Area as is.
  17. Launch a Text Editor such as NotePad, and paste the email addresses you copied in Step 16.
  18. Click "File" then "Save as".
  19. Change the file type to "All types".
  20. Enter your chosen file name plus ".csv" and click "Save". For example, "keio.csv".
  21. Display the admin screen for the old Keio Mail mailing list.
    Click "Manage List".
  22. Select the mailing list, and click "Add Members".
  23. Click "Bulk add".
  24. Click "Browse", "select the .csv file you created in Step 20", then click "Add".
    This completes Procedure 1. Go to Procedure 2.
  25. * When exceeding the number of members permitted in the mailing list.
    It is possible to permit posting by adding them to the Permitted /Restricted list even if there are too many members.
    Select the mailing list in the Manage List screen and click "Change information".
  26. Click the "Permitted /Restricted Lists".
  27. Enter the new Keio Mail email addresses that could not be registered as members in the "Permitted List", and click "Add".
    After adding all the email addresses, click "Save".
    * You cannot enter in bulk for the Permitted /Restricted Lists.

Procedure 2: Setting the Permitted/Restricted List

* This task will need to be done when old Keio Mail addresses are set in the "Permitted/Restricted Lists".It does not need to be done if old Keio Mail addresses are not set.

  1. Display the mailing list screen for the old Keio Mail.
    Click "Manage List".
  2. Select the mailing list and click "Change information".
  3. Click the "Permitted /Restricted Lists".
  4. Check both the "Permitted List" and the "Restricted List".
  5. Log into keio.jp.
    Click "Swap between old and new Keio Mail addresses".
  6. Enter the "old Keio Mail addresses you checked in Step 4" into the "entry area" on the left. Click the "New→Old" button.
  7. The new Keio Mail email addresses are displayed in the "display area" to the right.
    * If an email address for someone who has already left Keio or an external address (such as "@gmail.com") that is not covered by migration to the new Keio Mail is entered into the entry field, it will show as red and an error will be displayed. There is no need to set this again for email addresses not targeted for migration or external email addresses.
  8. Return to the Permitted /Restricted Lists screen.
    Enter the new Keio Mail addresses you checked in Step 7 and click "Add".
    Once you have finished entering the data in the "Permitted List", click "Save" and add email addresses in the same way to the "Restricted List".
    This completes the procedures.
